Nuxalk Nation Housing Assistant – Full or Part time

Position Description

Under the supervision of the Housing Director, The Nuxalk Housing Assistant contributes to the efficient day-to-day operations of the Nuxalk Nation Administration office, and provides administrative support to the Housing department, and other staff as required.

SPECIFIC RESPONSIBILITIES

  1. Performs all duties and responsibilities in accordance with the Nuxalk Nation policies, standards and procedures, and as directed by the Housing Director.
  2. Maintains confidentiality on all matters relating to the administration of Nuxalk Nation. Duties include, but are not limited to:

 

  1. Answer general phone inquiries and take messages for Housing department, in a professional and courteous manner.
  2. Greet members and visitors to the Band Office in a professional and friendly manner (follow Nuxalk Nation dress code) and assist with the needs of the members as required.
  3. Performs clerical housing duties such as depositing rent, invoices, GL coding, finding quotes for housing/ construction materials, construction timesheets, assist with tenant letters, rent statements.
  4. Sort and file incoming and outgoing mail, faxes, and deliveries for distribution for Housing department. Keeps records of all Housing mail through the Housing Mail Log.
  5. Organizes special events as assigned by the Housing department.
  6. Assist in creating purchase orders, and invoices.
  7. Arrange Special Meetings for Housing department.
  8. Follows up on Action items from Housing Meetings Minutes and prepares a report on the status of all Action items.
  9. Aid in the preparation for interviews, including the development of candidate interview packages, as assigned.
  10. Performs other duties and responsibilities as necessary in the performance of the position and as assigned by Housing management.
  11. Arrange community meetings and assist facilitators with meetings.
  12. Attends necessary training as assigned by housing director.
  13. keep the Housing department work area tidy and organized.
  14. Maintain filing system for all correspondence.
  15. Use Xyntax and Louis Toolkit to keep track of reports relating to Housing financials.
  16. Performs general research as assigned.
  17. secretarial duties: answering the phone and take messages, and make sure calendar is up to date.
  18. Assists in preparing travel advances and the submission of applicable claims for travel expense reimbursement.
  19. Utilizes word processing, spreadsheet, PowerPoint, Excel, Word and database software to create documents, spreadsheets and reports as required. Performs data entry and upkeep the Nation’s databases, ensuring a high level of accuracy.
  20. Forwards incoming general e-mails and voice mails to staff members.

Education/Training/Certification

  1. Minimum Grade 12 completion with related post-secondary courses (desktop publishing, word processing, secretarial, office administration, communications and budgeting) preferred.

Experience

  1. Secretarial and administrative experience with 1-2 years secretarial and administrative experience.
  2. Microsoft Office and other applicable software.
  3. Experience in the taking of minutes.

Personal Qualifications and Other Skills and Knowledge

  1. Excellent computer skills working within a Network environment.
  2. Proven interpersonal, oral and written communication skills and the ability to develop correspondence and reports.
  3. Excellent planning and coordination skills with the ability to multi-task.
  4. Strong team player with excellent problem-solving skills.
  5. Possesses integrity with a strong work ethic with the ability to maintain confidentiality.
  6. Knowledge and understanding of community needs, culture, language and customs.
  7. Pass criminal record check.
  8. Ability to work flexible hours and travel as required.
  9. Maintain a valid Driver’s License and has own transportation.
