WHAT WE NEED
You will act in stead of the CAO when they are unavailable and/or away.
We require a dynamic, intuitive person with strong people skills. The ideal candidate is ethical and values integrity above all else. The person will be well organized and a conscientious planner. Matching flexibility with adaptability, the candidate will have superior written and oral communication skills.
Reporting to the CAO, as part of the administrative team, the Senior Executive Assistant will have the opportunity to contribute to key projects and programs, embrace new communication technologies, and capture the key points and action items in meetings. You will thrive on creating an engaging work environment, for both in-office and remote employees, and will demonstrate these skills not only within your team, but also as a key member of supporting the CAO, Chief and Council and Director of Finance.
What you get
A 35-hour work week; Monday to Friday 8:30 AM to 4:30 PM with a lunch hour.
Salary ranging from $75,000 to $82,215 per annum.

Qualifications
A Bachelor’s degree in a related field and/or equivalent combination of education and experience in Business Administration with a minimum of 5 years demonstrated relevant experience.

-Excellent personal computer and technological skills with proficiency in Microsoft 365, Adobe Acrobat, PDF Exchange and other platforms.
Job description
-Provide administrative support for CAO and Chief and Council
-Managing calendars and appointments for CAO and Chief and Council
-Coordinate meetings, travel, catering and other scheduled events for CAO
-Organize management meetings for CAO and Chief and Council
-Organize Nuxalk team events (lunch, outings, celebrations, etc.)
-Handle mail and courier services for CAO and Chief and Council
-Support Human Resources initiatives for the Nation including securing and designing an efficient management system for all Nuxalk Nation personnel files to be housed in CAO’s office.
Human Resource assistance will be required but not limited to such matters as job descriptions, employee orientation, onboarding, exit interviews, and other important requirements.
-Manage office supplies and equipment purchases
-Respond to public concerns by prioritizing issues, providing information and explanations where necessary
-Research any area of need for the CAO and the Nation
-Expertise with Microsoft tools and other essential software platforms
-Assist with meeting minutes and execution of action items
-Establish reporting systems, create reports and ensure data is reported timely and accurately
-Ability to troubleshoot and resolve issues as they arise
-Assist in promoting current communication channels
-Designing, drafting and collating reports; drafting correspondence as directed
-Assist in prioritizing tasks for CAO and Chief and Council
-Design and develop efficient record keeping and systems for the Nation
-Ensure that all record and monitoring systems are efficient and current
-Attend and chair scheduled meetings as required and directed. Take, draft and distribute meeting minutes as required
-Assist CAO with employee contact which may include drafting memos, emails, letters and any manner of communications
-Sit on the Nuxalk Nation Occupational Safety and Health Committee
-Assist in providing ongoing training and professional development for the Nation
-Participate in ongoing professional development and other training as required
-Support the CAO’s position when the CAO is not available
-Other related duties and assignments as required
