Position Summary
Nuxalk Nation is seeking a highly organized, discreet, and professionally mature individual to serve as Council Secretary. This role sits at the centre of Nuxalk governance. You will be supporting Chief and Council with the administrative backbone that effective governance depends on. The successful candidate will bring sound judgment, tact, and a thorough understanding of First Nations governance processes, including band council operations, electoral cycles, and the protocols that guide decision-making in an Indigenous government.
Key Responsibilities
- Prepare agendas, briefing packages, and materials for all Council, committee, and community meetings
- Attend Council meetings (including evenings) and record accurate minutes, motions, and decisions
- Distribute minutes and motions to directors, relevant staff, and outside entities promptly following each meeting
- Track and follow up on all action items arising from Council; report on status; maintain workflow
- Maintain a complete, current record of all Chief and Council and General Band Meeting resolutions
- Track Council member attendance and maintain accurate records for governance purposes
- Support Electoral Officers before, during, and after band elections
- Coordinate orientation of newly elected Council members and assist with portfolio assignment processes
- Manage Council calendars and scheduling using calendar software; coordinate travel, accommodations, and expense reimbursements
- Maintain organized digital and physical filing systems, with an emphasis on digital records management
- Act as liaison between Chief and Council, Nation staff, and external stakeholders
- Exercise sound judgment on matters requiring escalation to leadership
- Support General Band Meetings and assist with special projects as required
Qualifications
- Diploma or certificate in Office Administration or related field, or equivalent experience
- Minimum 2–5 years in a senior administrative or governance support role
- Experience supporting leadership, boards, or governance bodies required; First Nations government experience a strong asset
- Demonstrated understanding of First Nations governance structures, band council processes, and electoral procedures
- Advanced proficiency in Microsoft Office and calendar/scheduling tools
- Absolute discretion in handling confidential and politically sensitive information
- Ability or willingness to learn to use finance software (Xyntax)

Compensation and Benefits
- Salary: $26.00–$30.00/hr, commensurate with qualifications and Salary and work schedule are subject to negotiation.
