Job Summary

The Senior Executive Assistant contributes to the overall success of the organization by effectively carrying out administrative and executive support functions for the NStQ Treaty Manager and Executive Director.  This position focuses on providing effective, professional, and timely assistance and solutions to administrative needs and requirements.

Wage Grid Level: $27.19 – $35.00

Duties and Responsibilities

1.      Administrative and executive support functions for the NStQ Treaty Manager and Executive Director.

2.      Updates the NStQ Treaty Manager & Executive Director’s calendars.

3.      Takes steps to ensure that minutes are safely stored as required by the Society Act.

4.      Directs inquiries, provides information, screen calls, sets up appointments.

5.      Prepares for tripartite meetings including organizing agendas, notifications, facilities, compiling documents and preparing packages; sets up and takes down equipment for meetings including Tripartite and other outside meetings.

6.      Responsible for official meeting minutes of the NStQ Leadership Council and Society Board of Directors.

7.      Maintains office inventory for treaty unit and liaises with Finance Assistant to ensure asset protection procedures are met.

8.      Receives and manages Treaty correspondence.

9.      In consultation with Treaty Communications Manager and manage Treaty database.

10.   Responsible for the Treaty File Room.  Ensure the files correspond with RIMS.

11.   Prepares invoices for processing by coding and verifying accuracy and follow-up for payment.

12.   Works with Finance staff to ensure documentation is accurate.

13.   Other duties as assigned or required by the NStQ Treaty Manager and Executive Director.
