Job Summary:
The Events Coordinator is responsible for coordinating and supporting wellness, cultural, recreational, and community events across Family Wellness Centre programming. This role encourages community engagement to help strengthen community connection, improve event coordination, and reduce operational pressures on frontline workers. This role ensures the gatherings are safe, organized, and aligned with community values, cultural continuity, and overall wellness goals. Essentially, this role will help create environments that reflect dignity, connection, and belonging within our community.
Duties and Responsibilities
- Performs all duties and responsibilities in accordance with the Tsq̓éscen̓ First Nation policies, standards and procedures, and as directed by the Family Wellness Manager
- Maintains confidentiality on all matters relating to the affairs of the Tsq̓éscen̓ First Nation
- Works in collaboration with the Wellness team, and with community staff and volunteers
Event Coordination and Logistics:
- Coordinate the planning and delivery of events, gatherings, workshops, and community activities. This may include, but not be limited to:
- Develop event plans, timelines, schedules, budgets, and task lists
- Secure venues, catering, accommodations, transportation, supplies, equipment
- Coordinate and assist on-site with setup, takedown, and clean-up of venues
- Responsible to track registrations, attendance, and support effective communication between all parties
Cultural and Community Support:
- Ensure events are carried out in a respectful and culturally grounded manner. This may include, but not be limited to:
- Obtaining guidance from Elders, and Knowledge Holders
- Seeking resources to decrease barriers for community participation
- Preparing culturally appropriate materials, gifts, honoraria, and hospitality items
Administrative and Financial Coordination:
- Prepare purchase requests, quotes, and event-related expense tracking. This may include, but not be limited to:
- Monitor event budgets, and keep within them
- Record and report receipts for all aspects of event planning and implementation along with supporting documentation
- Track inventory, store items which can be re-purposed, log waste items
- Prepare and submit timely reports on progress and implementation of events to Manager
Team & Operational Support:
- Work collaboratively with internal teams across wellness, culture, youth, family support, governance, and operations; extend this collaboration to contractors as needed
- Support emergency or short-notice event coordination when needed
- Create organized systems and processes for event planning and tracking
- Contribute to a respectful, solutions-focused, and team-oriented environment

Qualifications Required or Preferred:
- Degree, Diploma, or Certificate in event coordination, administration, hospitality, recreation, communications, community development, or a related field is an asset
- Experience working with First Nations communities, organizations, or culturally grounded programs is an asset
- Equivalent combinations of education, lived experience, cultural knowledge, and work experience may be considered
- Proven ability to manage and supervise staff in a community-focused setting while simultaneously providing excellent event experience to participants

- Continuous Learning and Initiative – Shows initiative, adaptability, and a willingness to learn new skills, processes, and approaches to strengthen programming and event coordination.
Skills and Abilities:
- Proven organizational, coordination, and time management skills
- Demonstrated communication and interpersonal skills, with the ability to engage respectfully with community, families, youth, Elders, staff, and community partners
- Handle multiple tasks, events, and timelines while effectively maintaining attention to detail and meeting deadlines
- Work collaboratively within a team environment and develop cross-program coordination
- Proactively plan culturally grounded, trauma-informed, and relationship-based approaches to community work
- Creatively problem-solve and adapt calmly to changes in fast-paced environments
- Acquire or have knowledge of community resources, service agencies, and event coordination processes
- Presents and behaves with professionalism, confidentiality, integrity, and respectful communication and is a positive example of someone representing this organization
- Proficiency in Microsoft Office, email, databases, and virtual meetings
- Self-motivated, dependable, and willing to participate in ongoing learning and professional development
- Willing to travel to support community events, meetings, and cultural activities as required
- Lifestyle and personal conduct consistent with the responsibilities of the position
Working Conditions:
- Flexibility in working hours to meet event planning needs; may include off-office hours
- May require travel within community and surrounding regions
- Events and preparation may be in office, community, or land-based settings
- Mobility requirements include lifting event supplies, setting up tables/chairs, and extended periods of standing during events
- Collaborative team environment; receives general supervision with occasional direction
Conditions of Employment:
- Successful criminal record check, including vulnerable sector screening
- Must be able to obtain and maintain a valid BC Driver’s Licence
Directly Supervises:
- None (except in collaborative event implementation)
Wage Expectations: Tsqescen First Nation salary grid (commensurate with experience)
Term: Full time Monday to Friday – 35 hours/ week
Hourly rate of Pay: As per the TFN Salary Grid starting
